Customer Service Executive

Job Descriptoin


  • To co-ordinate the sales activities within the group
  • To support the sales team in an administrative capacity
  • Main point of contact for the exhibitors
  • Allow sales team to maximize their sales and show management tasks

Main Duties & Responsibilities:

Main Tasks & Responsibilities

  • Be the main point of contact for exhibitors for all administrative enquiries and pass onto relevant internal departments
  • Maintain a 'master' exhibitors list containing accurate, complete and current details
  • Send order acknowledgement to confirmed exhibitors
  • Process all spex contracts internally to relevant departments
  • Enter sales leads / contacts accurately and in a timely fashion into Sales Force
  • Create alteration forms and amend the exhibitor master list with the changes.
  • Reconcile sales figures provided by accounts and make sure it is accurate
  • Liaise with agents and group organisers to obtain up to date exhibitor information
  • Liaise with exhibitors to obtain exhibitor information, profiles, logos and adverts for the show catalogue
  • Liaise with Credit control and chase exhibitors' payments if necessary
  • Regular interaction with the operations team to ensure documents are up to date and exhibitors are meeting deadlines
  • Assist the sales team on site during the events as required
  • Attend weekly update meetings for each event and take minutes as required
  • Chase exhibitors for client lists
  • Be responsible for collecting from exhibitors relating to the attendance at various special events
  • Organise visa letters for exhibitors and visitors as required
  • Be responsible for the collection and collation of catalogue and product index entry forms.
  • Collect logos and text for enhanced entries into online exhibitor listing
  • Supply the publishing company with an accurate and current exhibitor list (pre-show)
  • Liaise with the marketing to ensure exhibitor names and profiles appear accurately on the event website and in a timely fashion
  • Ensure that required sales packs for the sales team meetings are prepared
  • Organise hotel accommodation for sales staff as required
  • Enter details of business cards provided by the sales team for immediate follow up

Customer Service

  • Support exhibitors on any queries with regards to participation
  • To assist on site when and where required.

  • Educated to degree level or equivalent



  • 1-2 years' experience in a support role where working accurately and to deadlines is a prerequisite
  • Strong administrative experience in a cross functional environment
  • Excellent telephone manner
  • Computer literate and proficient in the use of Microsoft Word and Excel
  • Attention to detail
  • Demonstrate fluency in written and spoken English

  • Related industry/event knowledge
  • Good command of written and spoken Arabic
