Executive Secretary to support GM

Job brief
We are looking for a competent Executive Secretary to support GM in our company. He/She will be the one to organize and maintain the GM schedule and assist them by performing a variety of administrative tasks.
• Maintain GM agenda and assist in planning appointments, board meetings, conferences etc. Maintain GM calendar.
• Attend meetings and keep minutes and relevant reminders after the meetings.
• Receive and screen phone calls and redirect them when appropriate
• Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.
• Setup GMs travel arrangements. Visa, Tickets, Hotel bookings and every other requirement before, during and after his travel.
• Handle confidential documents ensuring they remain secure.
• Prepare invoices or financial statements and provide assistance to GM for all expenses incurred.
• Maintain electronic copy and hard copy of all the relevant information ensuring data is organized and easily accessible.
• Conduct research and prepare presentations or reports as assigned
• Meet and greet clients and visitors .Setup accommodation and arrangements for company visitors.
• Create, transcribe, and distribute meeting agendas and minutes.
• Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
• Maintain Data base of all the contacts, topics of correspondence and companies visited
• Maintain a regular mailing list for all the major festivals
• Organize his mails, files and folders on his computer
• Supervise support staff and collect records on a regular basis
• Other duties as assigned.
 5-7 years of exp
 A masters degree in Law/Finance/Management preferred
 Experienced in multitasking roles, data management and coordination
 Proven experience as executive secretary or similar administrative role
 Proficient in MS Office and
 In depth knowledge of office management
 Familiarity with basic research methods and reporting techniques
 Excellent organizational / time-management skills and decision making skills
 Outstanding communication and negotiation abilities
 Decision Making Ability , Integrity and confidentiality
 Engineering background or person working with engineering company preferred.
Salary – AED 5000 – 6000 and other benefits as per UAE Labor Law.
Location – Abu Dhabi
Timing – 8:30 am – 6:00pm from Saturday through Sunday with 2nd and 4th Saturdays off.
